Library Management Services provides three service programs to
choose from. Each program can be specially tailored for your
specific needs. The three programs are the Regular Service Program,
Extended Service Program and the Full Service Program.
Regular Service Program
For those clerical duties that your staff simply does not have the
time for.
The Regular Service Program includes these services:
1. Maintaining the currency of your library; a trained librarian
will properly place all supplements, releases, updates and report
letters in your books. This includes looseleaf filing, pocket part
inserting and advance sheet placement.
2. Claim orders; Publishers will occasionally send a defective
update. Sometimes the defect is minor, like missing a page or two,
sometimes the problem is more serious, such as missing an entire new
section. Regardless of the seriousness of the problem, the LMS
librarian will fill out a written claim order. We follow up on these
orders, and if they have not been received within a reasonable time,
the librarian will fill out a second request. When the office
receives this request, the staff calls the publisher and asks that
the missing items be sent immediately. This two tier system insures
that your materials are ordered quickly leaving a clear paper trail.
We correct all errors we find in your books.
3. Reshelving; Many reference sets in specialized libraries are
serials. Many have 5 or more volumes. Many binders look alike. We,
at Library Management know this. We always reshelf correctly.
4. Proper placement of periodicals, newsletters and newspapers;
Library Management believes in organization.

of reference sources is changing. Library Management can help your
firm with this change. We know what’s available on Disc (CD or
floppy) and can arrange for demonstrations. We have design
suggestions on Computer Centers and we know of a variety of supplies
helpful in maintaining order among your Discs and Manuals.
2. Routing materials of interest received in your library; Library
Management Services can maintain a Routing System already in service
or can help you create an new system.
3. Consultation on reference sources available; Come to us when you
want to know the price and availability of a reference source. We
maintain good relationships with all the publishers. We also belong
to the library associations and subscribe to librarian alert
newsletters.
4. Preparation and arrangement for binding; We will sort your law
reviews, magazines or journals and prepare them for binding. Orders
are placed for any missing issues. Arrangement is made with the Book
Binder and records are kept on color choices and lettering.

1. Inventory Program; Library Management Services prepares an
exhaustive, complete, innovative and customized Inventory Report. It
has been customized to your specific needs. The Inventory Reports
are organized to include such vital information as publisher,
titles, subtitles, copyright dates, types of volumes, and the status
of those volumes. The Reports included are as follows:

Inventory by Type

Total Volumes in Inventory by Type
Each of these reports brings you information that is vital, useful
and easy to inspect. To begin with, the first report, Inventory by
Publisher, gives you all the information about each and every title
found in your library: 1)organized by publishing companies; 2)sorted
by main titles; 3)sorted by subtitles if available; 4)copyright
start and ending dates along with the present status of the volumes;
and 5)number of volumes and supplements for that title. The second
report, Inventory by Title, allows you to quickly check for any
title in your library first by main title and then by subtitle,
alphabetized and including the publisher. Your third report,
Inventory by Type, lists the same information as Inventory by Title,
except that it is further broken down by the various types of
volumes that are presently in your library: hard bound, hard bound
with a pocket part, law review, looseleaf, newsletter, newspaper,
periodical, and soft bound. The fourth report, Status Report, takes
all of your titles and breaks it down into two main categories: your
titles are either CURRENT forms of the information or they are OUT
OF DATE! This report will be very useful for determining which items
should remain on the shelves, be discarded or updated. Volumes in
Inventory by Type, summarizes the total number of volumes.
Every quarter you receive a new Quarterly Inventory Report which
solves the most common problem with inventories: their shelf life.
After all, the inventory is only as good as the status of the
information it provides! Once new books are received or old books
are removed, your inventory is no longer as accurate as it should
be. This report will replace your current inventory and will insure
that your inventory consists of current titles that are being
updated regularly while removing titles that have been discontinued.
2. Subscription Management; Keeping track of the money spent on
updating and maintaining a library collection is a complicated task.
Much of the confusion stems from lack of experience in dealing with
publisher invoices and statements. It is complicated by unscrupulous
publishers who send unsolicited publications with the hope that they
will be inadvertently paid. Our experience dealing with the
publishers qualifies us to maintain your library’s accounting
records. Each full service plan is tailored to the particular
client’s accounting needs. Generally, the librarian will bring all
invoices and statements to the office where they will be processed.
At the office, we use a combination of hard copy records and the
computerized data base created from your completed inventory to
insure that we authorize payment only for those items that you want
and need. We catch the publisher trying to sneak a new publication
into your library. Also, this procedure helps to prevent double
payments from occurring. Because all invoices are data entered into
the computer weekly, we can produce printouts at your request. The
printouts are extremely useful for calculating your budget requests
for subsequent years. In addition, they can help you to see exactly
where your library dollars are being spent.
